Turning content chaos into clarity—automatically.
Today, Microsoft takes a major leap forward in enterprise AI with the public preview of the Knowledge Agent for Microsoft 365 Copilot. This new capability is designed to help organizations manage, organize, and refresh their SharePoint content with unprecedented ease—using natural language, intelligent automation, and behavioral insights.
Microsoft 365 Copilot is more than just Microsoft’s version of ChatGPT. It integrates Semantic Search and orchestration through the Microsoft Graph, meaning it bas its responses on dynamically selected sets of your organization’s content and intellectual property. Most of that is stored in SharePoint - the world’s largest content management platform, with nearly 3 billion new files added daily. So managing that content becomes essential to success with AI.

For anyone who’s struggled with stale pages, broken links, or inconsistent tagging, this is a game-changer.
Executive Summary
The Knowledge Agent is built to solve three persistent challenges in enterprise content management:
Metadata chaos: It dynamically suggests metadata columns and uses autofill prompts to tag content automatically.
Workflow complexity: It enables users to build content workflows using natural language and mad-libs style prompting—no Power Automate skills required.
Content freshness: It identifies obsolete pages, flags broken links, and uses search history to suggest and even build new pages based on user behavior.
This agent is part of Microsoft’s broader push to make Copilot not just reactive, but proactive—helping teams stay organized, compliant, and collaborative without drowning in manual upkeep.
What It Does
📁 Smart Metadata & Autofill Tagging
The Knowledge Agent analyzes your SharePoint libraries and suggests metadata columns based on content patterns. It then uses Autofill prompts to automatically tag documents, pages, and files—making it easier to find and govern content without relying on manual tagging.
Suggests metadata columns dynamically.
Uses AI to autofill tags based on context.
Improves searchability and compliance.
Starting next month, Copilot will use SharePoint metadata for even more accurate sourcing of relevant content for its responses. (Roadmap ID 502516)
🔄 Workflow Agent with Natural Language
Building content workflows has traditionally required technical expertise. Now, users can describe what they want in plain English—and the agent builds it.
“When a new policy is uploaded, notify HR and archive the old version.”
“If a page hasn’t been viewed in 90 days, mark it for review.”
Mad-libs style prompting makes it intuitive and fast.
🧹 Content Freshness & Link Hygiene
The agent continuously monitors your content for relevance and usability. It flags outdated pages, broken links, and stale documents. Even better—it uses search history and user behavior to suggest new pages and content structures.
Detects and flags obsolete content.
Identifies broken links and outdated documents.
Suggests new pages based on what users are searching for.
Why It Matters
Organizations are drowning in content. SharePoint is powerful—but without consistent tagging, workflows, and cleanup, it can become a digital junk drawer. The Knowledge Agent helps teams:
Stay current without manual upkeep.
Build workflows without technical barriers.
Deliver better search and discovery experiences.
This is especially valuable for industries with compliance requirements, distributed teams, or high content velocity.
